How It Works If you've ever tried to use off-the-shelf webinar software for formal meetings, you've probably discovered that they are unequipped to handle the legalities and processes you require. VBR has built-in controls for Parliamentary procedure based on Robert's Rules of Order that let you manage all aspects of attending and running a meeting, including roll call, casting votes, making motions, and debating, with a viewing screen for agendas, minutes review, and other documents. To initiate a meeting, an invitation is sent to all registered members and the presider or chairman with login information, including a conference phone number. There are two portals for each meeting: the participant (member) view and the moderator(chairman or presider) view. Each has different controls for engaging with the meeting. Depending on your role, you will be guided to the appropriate portal – or view – to enter the meeting. The moderator view allows for full meeting management, including setting a quorum, proper precedent management, real time voting and results, motion editing and control, and live chat with any or all members. The participant view allows a member to vote, second a motion, make a motion, debate and Meetings are conducted in their normal manner, and technical phone support and, optionally, an event manager, are provided by CommPartners. Meetings are recorded by the virtual board room software, making note-taking unnecessary by the Secretary. Virtual board room software is ideal for formal meetings with many members in various locations, and where costs need to be contained.
